UK data protection law gives people rights over their personal data. These rights are designed to help you understand, check and control how personal data is used.
Depending on the situation, you may have the right to:
- ask for a copy of personal data held about you;
- ask for inaccurate or incomplete personal data to be corrected;
- ask for deletion or anonymisation of personal data;
- ask AvailGolf to restrict certain processing;
- object to certain processing;
- request portability of data you provided; and
- withdraw consent when a feature relies on consent.
These rights are not automatic in every situation. They may depend on the type of data, why it is being used and whether AvailGolf, a golf club or a service provider has a valid reason to keep it.
02Making A Privacy Request
You can make privacy requests through AvailGolf or by contacting privacy@availgolf.com.
AvailGolf may need to verify your identity before responding. This helps protect your account and makes sure personal data is not disclosed to the wrong person.
Some requests can be handled through platform workflows. Others may need manual review, especially if they involve club administration, reports, moderation records, billing records, support correspondence or records held by service providers.
03Access And Export Requests
You may ask for a copy of personal data held about you. AvailGolf has privacy request and export workflows designed to gather many platform records linked to a user.
An export may include account, profile, preference, communication, activity, privacy, support and report records linked to your use of AvailGolf.
Some records may need separate handling. This can include authentication provider records, Stripe records, email delivery records, support inbox correspondence, service logs or information held by a relevant golf club.
04Correction, Deletion And Anonymisation
You may ask for inaccurate or incomplete personal data to be corrected. Some profile, preference and privacy settings can be updated in the app. Other records, such as email, role, club access, support or billing records, may need support or administrator handling.
You may ask for personal data to be deleted or anonymised. AvailGolf supports account deletion through privacy request and anonymisation workflows.
When an account is deleted or anonymised, AvailGolf can remove profile photos and user files, replace identifying profile details and close the authentication account.
Some records may still be kept for legal, safety, billing, audit, moderation, support or operational reasons. This can include session records, reports, moderation records, billing records or support records.
05Portability, Objection, Restriction And Consent
You may have the right to receive certain personal data you provided in a structured format. AvailGolf's export workflow is designed to provide many user-linked platform records in a structured format.
You may also ask AvailGolf to restrict certain processing or object to certain processing. Requests involving reports, safety records, billing, audit records or club administration may need additional review.
If AvailGolf relies on consent for a specific optional feature, you may withdraw that consent. AvailGolf does not currently use website analytics cookies, marketing cookies, advertising cookies or advertising pixels.
06Club-Scoped Administration
AvailGolf is a club-scoped platform. Members and administrators are linked to a club and role so access can be managed within the relevant club community.
AvailGolf is responsible for the platform: accounts, authentication, app features, privacy tools, security, service providers and operational records. Golf clubs may also have their own responsibilities for club administration, membership decisions and local club matters.
Club administrators use the Admin Portal on behalf of their club. Some privacy requests may require coordination between AvailGolf and the relevant club, especially if the request involves club-supplied information, club access, local complaints or administrator actions.
07Providers And International Processing
AvailGolf uses service providers to operate the platform. Firebase and Google services support authentication, cloud services, notifications and core platform operations. Stripe supports hosted payment, subscription, customer portal, webhook and billing records for paid services. Resend supports transactional email delivery, such as invites, account recovery messages and billing-related messages.
AvailGolf is a UK-first service, but some trusted providers may process or access personal data from other countries. This can happen with cloud hosting, payment processing, transactional email delivery or provider support.
Provider-held records may not always be included automatically in a platform export. AvailGolf may need to handle some provider records separately when responding to a privacy request.
08Data Retention
AvailGolf keeps personal data only for as long as it is needed for account operation, club access, session coordination, support, privacy requests, legal obligations, accounting, safety, moderation and platform security.
In practice:
- privacy export files are kept available for up to 30 days;
- privacy export download links are temporary;
- session message content may be retained for up to 365 days;
- deleted notification records may be kept for up to 90 days to prevent them reappearing in your notification history;
- invite links expire after 14 days; and
- billing and accounting records may be retained for tax, accounting, legal or dispute purposes.
Deletion or anonymisation does not always remove every record immediately. Some records may be retained when they are needed for legal, safety, billing, audit, moderation, support or operational reasons.
