01Introduction
AvailGolf is a private golf club community platform. It helps members join invite-led club communities, manage profiles and preferences, coordinate playing sessions, exchange session messages, receive notifications, report concerns and make privacy requests.
These Terms apply when you use AvailGolf's website, mobile app, admin portal or related services. They are written for members, club administrators, club representatives and prospective customers.
By using AvailGolf, creating an account, accepting an invite or accessing the admin portal, you agree to follow these Terms and the Acceptable Use Policy. You should also read our Privacy Policy, GDPR Information, Cookies Policy and Security & Trust page.
02AvailGolf Responsibilities
AvailGolf provides software services and community-coordination features for private golf club communities.
- member profiles and playing preferences;
- invite-led onboarding and authenticated account access;
- club-scoped access so members and administrators use the relevant club community;
- session coordination features;
- session messaging and operational notifications;
- reporting tools for certain member and message concerns;
- privacy tools for requests, exports, correction, deletion and anonymisation; and
- admin portal features for authorised club administration.
AvailGolf is responsible for operating the platform, maintaining its core features and supporting users through the contact routes listed below.
03Platform Boundaries
AvailGolf helps members connect and coordinate. It does not replace the club, the member's own judgement or the arrangements members make with each other.
- AvailGolf does not operate golf clubs.
- AvailGolf does not manage tee sheets.
- AvailGolf does not provide golfing services.
- AvailGolf does not guarantee attendance, participation, bookings or playing partners.
- AvailGolf does not control real-world interactions between members.
Club facilities, tee times, local rules, course conditions, membership decisions, in-person conduct and real-world arrangements remain outside AvailGolf's control.
04Golf Club Responsibilities
Golf clubs remain responsible for their own club administration and local decisions.
- club membership decisions and member eligibility;
- club rules, policies and local conduct standards;
- tee-sheet management, bookings and course access;
- club facilities, premises and in-person club services;
- appointment and management of club administrators;
- local administration, complaints and conduct matters; and
- the accuracy and authority of club information supplied for invites or administration.
A club's use of AvailGolf does not transfer responsibility for those local club matters to AvailGolf.
05Club Administrator Responsibilities
Club administrators act on behalf of their club when they use AvailGolf for club administration activities.
Administrators may be able to create invites, manage club access, view same-club member information, access support context, use enabled privacy workflows, view reporting information or manage club-related settings where those features are available.
- use admin access only for authorised club purposes;
- manage invites and access carefully;
- keep club and invite information accurate;
- use member information responsibly and only for authorised club or platform purposes;
- avoid discriminatory, retaliatory or unauthorised admin actions; and
- not share, export, copy or misuse member, club, support, privacy, report or billing information.
06Member Responsibilities
Members are responsible for how they use AvailGolf and how they interact with other members.
- keep account sign-in details secure and do not share your account;
- provide accurate profile, preference and contact information;
- use sessions, messages, reports and feedback honestly and respectfully;
- follow club rules and local club requirements;
- decide for yourself whether to attend, join or continue any session or arrangement;
- treat other members, administrators, clubs and AvailGolf staff respectfully; and
- follow the Acceptable Use Policy.
Members remain responsible for their own conduct, decisions, arrangements and interactions with other members.
07Accounts, Sessions And Communications
Access to member and administrator features may require a valid invite, an authenticated account, an active role and a connection to the relevant club community.
AvailGolf allows members to create, join, leave and manage playing sessions where features are available. Session details, participation records, booking status, messages and notifications help members coordinate opportunities with each other.
Session messaging is intended for session-related communication. Notifications may relate to invites, sessions, messages, account activity, support, privacy, reports or billing-related updates.
Session coordination features do not create tee-time bookings, guarantee attendance or confirm that a club will accept any booking or arrangement.
08Reporting, Moderation And Enforcement
AvailGolf includes reporting workflows for certain member and message concerns. Reports should be made honestly and in good faith.
Reports may be reviewed by AvailGolf and, where appropriate, relevant club administrators acting on behalf of their club. Some matters may need to be handled by the relevant club or another authority.
Where needed for safety, security, legal, operational, billing, misuse, acceptable-use, moderation or club-administration reasons, AvailGolf may restrict features, preserve relevant records, contact a relevant club, suspend access or terminate access.
AvailGolf does not promise a specific result for every report or a set response time. Suspension, restriction or termination does not automatically delete all records; some records may be retained as described in the Privacy Policy and GDPR Information.
09Privacy, Data And Acceptable Use
AvailGolf handles personal data as described in the Privacy Policy and GDPR Information.
Privacy requests can be made through AvailGolf where available or by contacting privacy@availgolf.com. These may include access, export, correction, profile-photo deletion, account deletion or anonymisation requests.
Some privacy, support, reporting or moderation requests may require coordination between AvailGolf and the relevant club. Some records may be retained where needed for legal, safety, billing, audit, moderation, support or operational reasons.
You must also follow the Acceptable Use Policy. In summary, do not harass, abuse, discriminate, impersonate others, spam users, misuse invites, share accounts, scrape data, automate unauthorised access, interfere with security or misuse member or club data.
10Updates And Contact
AvailGolf may update these Terms from time to time. When we do, we will update the effective date or last updated date and may provide notice through the website, app, admin portal or email where appropriate.
Club-specific pilot, subscription or commercial arrangements may be agreed separately with a club or customer organisation.
